Upcoming Changes to the Development Experience Clearinghouse Website
1. SUBMITTING DOCUMENTS and IMAGES
What will NOT change
Materials that adhere to ADS 540 guidelines will be processed.
A valid e-mail address will be required to submit material.
Each document will need to be uploaded individually.
Only the final and approved version of your document will need to be submitted.
Your document’s bibliographic information will be reviewed by our Content Team and changed, as needed.
Any required information not included in the uploaded document will be added as needed by our Content Team, including subject area, indexing terms, and so forth.
What will change
Current user accounts will no longer work.
Prior submissions will not be available to track, although we are working to change this.
Bibliographical information, such as author and contract number, may be entered during the submission process. This information will not, however, appear immediately in the record. [screenshot]
Records will be available within three business days after submission.

2. ORDERING
What will NOT change
USAID-affiliated users may request document conversion.
What will change
USAID personnel: Requests originating from valid USAID e-mail addresses will continue to be processed and converted, although delays of several weeks should be anticipated. Requests must be submitted to docorder@usaid.gov. When the order is complete, an e-mail will be sent containing a hyperlink to the document.
Contractors: Documents may be requested by contractors without active USAID e-mail accounts through their USAID contact person.
All others: Document requests will not be processed during conversion; following the conversion, the entire microfiche collection will be available in PDF from the DEC site. Thus, document requests will no longer be necessary.
NOTE: The Development Experience Clearinghouse Scanning Project
The entire document collection is going digital, and when we’re done, more than 50,000 documents now in microfiche will be at your fingertips as downloadable PDFs.
The conversion will conclude in early 2010, but while it is underway, the Document Order process will be largely unavailable. Because the documents will not be in-house during this process, orders for material on microfiche will only be accepted from USAID staff and may require more time than usual to fulfill.
Although DEC staff anticipates that the conversion process will take several months, newly digitized documents will be uploaded to the DEC site regularly. We encourage you to revisit the site at your convenience to see if your document has become available electronically.
General questions regarding the conversion and document-order processes, or USAID staff requests for documents, may be submitted to docorder@usaid.gov. (Please include your name in the title.)

3. SEARCHING
What will NOT change
All DEC documents will be available to search.
Advanced Search will allow you to search for specific contract numbers, organizations, dates, and so forth.
The full-text search, now powered by Google Search Appliance and sitting on the DEC homepage, will remain available.
