540.5.2b SUBMISSION OF DEVELOPMENT EXPERIENCE DOCUMENTATION TO PPC/CDIE/DIS
All development experience materials, whether in paper copy or electronic form or other media, whether created by Agency direct hire employees or produced by USAID contractors, must be submitted to the PPC/CDIE/DI Development Experience Clearinghouse to be shared and used by Agency staff in USAID/W, field missions, and development partners.
Required Bibliographic Information
A little preparation before submitting documents can ensure that they're processed into the system quickly and efficiently. Documents with incomplete or inconsistent bibliographic information take longer to process and may be cataloged in a way that affects their availability. For example, documents that arrive without a title are assigned a descriptive title at the DEC, which may make it difficult to retrieve the document via a title keyword search.
All documents submitted to the DEC must have the following essential bibliographic elements on the title page:
Author's name
Descriptive title (if non-English, please include a translation)
Program, activity, or project number
Strategic objective number
Sponsoring USAID office and contract or agreement number
Contractor name
Date of publication
Indication of procurement sensitive information, if appropriate
The best way to ensure that this information is included is to complete an AID 590-7 PPC/CDIE/DI Report Processing Form (available in MS Word or PDF) for each document submitted, though this is not required if the information appears on the document.
